Files library

The files library is where you review uploads and generated files from chats, agent knowledge sources, and tool output. You can search and filter long lists, scroll to load more results, download files, and delete one or many at a time.

Personal files and organization files use the same table layout but different entry points and permissions.

Personal files​

  1. Open Account in the sidebar.
  2. Click Files.

You see every file tied to your account, including documents you uploaded in chat, files attached to agents, and files the platform generated during conversations.

Organization files​

Organization administrators and members with the right permissions can review files across the org:

  1. Open Organization in the sidebar.
  2. Click Files.

The organization view adds a filter for who uploaded each file, which helps admins audit storage and clean up old content.

Find files quickly​

Both views support the same core browsing tools:

  • Search β€” Filter the table by filename.
  • Date range β€” Narrow results to files added within a selected period. Dates use your browser’s local timezone.
  • Uploader (organization view only) β€” Limit the list to files from a specific member.

Results load in pages as you scroll. When more files exist, additional rows appear automatically at the bottom of the table.

Download and refresh​

  • Click the download action on a row to save a copy of that file.
  • Click Refresh to reload the list after uploads, deletes, or indexing changes elsewhere in the product.

Delete files​

Single file​

  1. Select the delete action on a file row.
  2. Confirm in the dialog.

The file is removed asynchronously. The row may show a deleting state until the operation finishes.

Multiple files​

  1. Select the checkboxes for the files you want to remove.
  2. Click the bulk delete action in the toolbar.
  3. Confirm.

You can delete up to 500 files in one bulk action. If you select more than that, the product asks you to reduce the selection.

Bulk delete runs in the background. A notification shows progress and reports how many files were queued. Some files may be skipped if they are already gone or you lack permission to delete them.

What the table shows​

Typical columns include:

  • Filename β€” With a link to the related chat when one exists.
  • Size β€” File size in a readable format.
  • Source β€” Whether the file was uploaded by a user or generated by the system.
  • Status β€” Processing or availability state while indexing or cleanup runs.
  • Added β€” When the file was created in the library.

Exact columns can vary slightly between personal and organization views.

Good to know​

  • Deleting a file from the library does not always remove it from every agent knowledge source immediately. If an agent still references a removed file, re-test the agent and refresh data sources as needed.
  • Large libraries are easier to manage with search and date filters before bulk delete.
  • Organization file access depends on your role. If you do not see Organization β†’ Files, ask an administrator.
